Clerk/Receptionist/Typist
Reports To: Office Manager
JOB SUMMARY: The Clerk/Receptionist/Typist is responsible
for front counter customer service, telephone answering, computer data
entry, typing and general office work under the supervision of the Office
Manager.DUTIES AND
RESPONSIBILITIES:
Answer company telephone and direct calls to proper departments and/or
persons.
Provide back-up for other office workers and respond to incidental needs
of co-workers including, but not limited to, faxing and looking up things.
Greet visitors to the plant, and assist them in making proper contacts.
Receive and forward all incoming faxes through Eudora; maintain master
“Spam” list.
Prepare shipments for UPS shipments as assist others with UPS. Package
shipments as needed.
Types and proofread as required.
Order materials and supplies such as paper, toner and litho.
Sort and distribute incoming mail.
Prepare outgoing mail.
File all reports and documentation.
Collect, review and correct Daily Time Verification Forms and print
Open Job Report, Weekly Job Report and Job Cost Summary.
Share responsibility for closing down the front office at the end of
the day which includes but not limited to closing UPS system, putting
away cash drawer, locking front door and turning off select lights.
Maintain inventory/supply list for production.
Assist with Homes and Real Estate monthly billing/mailing.
Follow and comply with all safety and work rules and regulations.
Maintain all equipment in your area in a clean, safe manner and report
any problems to your supervisor immediately.
Perform other duties as assigned by Office Manager or Vice President.
JOB REQUIREMENTS:
High school diploma or equivalent. Knowledge of phone courtesy and how
to greet customers. Good computer skills with a working knowledge of
word processing, spreadsheets and email. Pleasant first impression for
greeting visitors. Strong customer service, teamwork and communication
skills. Clear speech and strong English language skills. Attention to
detail, ability to follow instructions and good problem solving skills.
Good grammar and punctuation skills.
